Our client, a leading life insurance provider, is seeking a highly organized and proactive Admin Officer (1 year contract, subject to renewal) to support their English-speaking executives.

This role requires exceptional organizational skills, attention to detail, and fluency in English to ensure seamless communication and efficient administrative operations.

Key Responsibilities:

Administrative Support:

Provide comprehensive administrative support to English-speaking executives, including managing schedules, organizing meetings, and preparing presentations.

Handle correspondence, reports, and documentation in English with a high level of accuracy and professionalism.

Calendar and Meeting Management:

Schedule and coordinate meetings, appointments, and events, ensuring no conflicts.

Prepare meeting agendas, take minutes, and follow up on action items.

Document Management:

Maintain and organize records, files, and documents, ensuring easy access and confidentiality.

Draft, proofread, and format documents and reports in English.

Communication:

Serve as a point of contact for internal and external stakeholders, ensuring clear and professional communication in English.

Assist with email and phone correspondence, prioritizing and escalating issues as necessary.

Office Operations:

Support office operations by coordinating travel arrangements, ordering supplies, and liaising with vendors.

Assist in planning and organizing team events and workshops.

Qualifications

  • Fluent in English (verbal and written) is mandatory. Additional languages are a plus.
  • Proven experience in an administrative or executive support role, preferably within the insurance or financial services sector.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office management tools and software is an advantage.
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Excellent interpersonal and communication skills to interact with executives and stakeholders professionally.
  • High attention to detail and the ability to work independently.
