Our client is one of the top-tier financial institutions providing top-notch financial and insurance services. They are now looking for an event professional to join their team.
Event Management
- Document Development: Oversee the creation and upkeep of essential event documentation, such as itineraries, work-in-progress presentations, schedules, and checklists.
- Database Oversight: Manage event databases and registration platforms, ensuring accurate data and prompt updates.
- Vendor Coordination: Lead the logistics collaboration with vendors and suppliers, handling venue reservations, catering services, and equipment rentals.
- Material Preparation: Supervise the creation and distribution of event materials, including name tags, informational packets, travel itineraries, and promotional merchandise.
- Setup and Breakdown Coordination: Organize the setup and dismantling processes for on-site events.
- Event Management Leadership: Take charge of on-site operations, including guest check-in, transportation arrangements, and troubleshooting.
- Feedback Implementation: Design methods for gathering feedback and play a key role in post-event evaluation and reporting.
- Attendee Communication: Facilitate communication with guests regarding event specifics, confirmations, and updates.
- Inquiry Management: Address questions and requests from participants, ensuring prompt and professional communication.
- Reporting: Compile and present attendance statistics and regular updates to the Senior Events Manager.
Project Planning and Strategic Assistance
- Timeline Collaboration: Work alongside the Senior Events Manager to create project timelines and task lists for upcoming events.
- Interdepartmental Liaison: Act as a point of contact with various departments to fulfill their event requirements.
- Venue Research: Conduct research and provide recommendations for prospective event locations and venues.
- Brainstorming Contributions: Participate actively in creative sessions to generate event concepts and themes.
- Budget Support: Assist in budget development and manage expense tracking.
Requirements:
- Bachelor's degree with at least 3 years of experience in event management or a related field, specifically in executing events.
- Exceptional verbal and written communication skills, enabling effective collaboration with various stakeholders across different BUs.
- Proficient in English is essential; additional proficiency in Mandarin and Cantonese is highly desirable.
- Strong organisational skills with attention to detail and the ability to manage multiple projects simultaneously, ensuring all aspects of events run smoothly.
- Experience in developing and managing event budgets, with a focus on maximising resources while achieving client objectives.
